Robo Company Secretary is a service offered by AK Secretarial Companies Sdn Bhd (Company Reg: 201101008946 (937085-D)), a licensed corporate secretarial firm based in Mont Kiara, Kuala Lumpur, Malaysia. This Privacy Policy explains how we collect, use, and protect personal data, in compliance with Malaysia's Personal Data Protection Act 2010 (PDPA).
02. What we collect
When you use this website or engage our services, we may collect: name, email address, phone number, country of residence, business and shareholding details, identity documents (for KYC and SSM filing), and correspondence with us. We collect this data only when you provide it to us through forms, WhatsApp, email, or in person.
03. How we use your data
We use your data to: respond to your inquiries, prepare and file company documents on your behalf, comply with our regulatory obligations under the Companies Act 2016 and Anti-Money Laundering laws, communicate with banks, regulators, and counterparties on your instruction, and improve our services. We do not sell, rent, or lease your data to third parties.
04. Who we share data with
We share data only with: Malaysian government authorities (SSM, LHDN, etc.) where required for filing or compliance, banks and financial institutions where you've authorised us to facilitate account opening, professional partners (auditors, tax agents, lawyers) where you've engaged them through us, and our internal staff and contractors who need access to perform our services. All recipients are bound by confidentiality.
05. How we store and protect data
Personal data is stored on systems secured by encryption at rest and in transit. Access is restricted to authorised personnel. We retain data for as long as necessary to perform our services and comply with statutory record-keeping requirements (typically 7 years post-engagement).
06. Your rights under PDPA
